POSITION PURPOSE:                                
This position contributes to the mission of CHI Health by the inclusion of clerical duties that support the plan of care developed and implemented for the surgical patient. The position contributes to the department goals through the provision of quality services.
 
ENVIRONMENT:
CHI Health is a not-for-profit umbrella corporation providing governance, administrative management and direction to all operations of Bergan Mercy Health System (sponsored by Catholic Health Initiatives) and Immanuel Medical Center (Immanuel Health Systems).  These two health systems have consolidated operations while maintaining separate religious identities, financial assets and medical staffs.
 
Consolidated operations include five acute-care metropolitan hospitals located in the Omaha-Council Bluffs metropolitan area; three rural hospitals located in Missouri Valley and Corning, Iowa and in Schuyler, Nebraska; one long-term care facility located in Omaha; joint venture ambulatory surgery facilities located on the Lakeside and BMMC Campus in Omaha; joint venture Nebraska Spine hospital located on the IMC Campus;  minority owner of community hospital in Blair; home care programs serving the region; multiple metropolitan and rural health care clinics/offices; major programmatic initiatives in managed care, physical medicine and rehabilitation, behavioral health, senior services, cardiovascular services, orthopaedics, women’s and children’s services, and oncology; and joint ventures with community partners in pediatrics and hospice.
 
NATURE AND SCOPE:
The Scheduling/Billing Specialist reports to the Operations Director or to the Operations Director through the Manager or Team Lead and works collaboratively to provide quality care for patients, families and physicians. The incumbent shares technical and clerical expertise and knowledge with other members of the health care team.
 
 
PRINCIPAL ACCOUNTABILITIES:
  • Performs duties according to department specific expectations as identified and assigned.
  • Schedules procedures considering the availability of procedure room, equipment, staff and Anesthesia care provider utilizing surgical scheduling system.
  • Logs daily patient and procedural information into the mandatory computerized post-caselog to meet all Joint Commission requirements.
  • Facilitates the collection of statistical data and prepares reports for management.
  • Prepares patient records and submits patient billing information for processing daily.
  • Reconciles daily departmental charges, patient charges and inventory utilization.
  • Collaborates with charge audit nurses.
  • Updates surgical charges and specialty charge sheets as needed.  Interacts with purchasing or vendors when appropriate.
  • Prints and maintains physician preference cards and tissue logs.
  • Monitors, recommends and coordinates Charge Master System changes.
  • Performs clerical/receptionist duties that include but are not limited to:
a.         Answering the telephone and department intercom system in a prompt and courteous manner appropriately directing calls.
b.         Receiving, greeting, screening and providing direction for patients, families, visitors, physicians, ancillary personnel and vendors in a friendly, helpful and courteous manner.
c.         Coordinating communications between ancillary departments and the Surgical Service/Anesthesia Department.
d.         Notifying the appropriate staff of procedural cancellations or additions.
REGULATORY REQUIREMENTS:
  • Participates in all safety, security and infection control programs that are mandatory as well as those required and provided by the department.
  • Demonstrates work practices consistent with CHI Health and department specific safety, security and infection control policies.
  • Must have ability to work effectively and collaboratively in a diverse and multi-cultural environment.
 
QUALIFICATIONS:
Experience/Education
Preferred:
  • Operating Room experience or completion of Surgical Technology program
  • Clerical/receptionist experience or related experience in a health care field
  • Computer experience with medium level excel experience
 
 
Experience/Education
Required:
  • Medical terminology course or equivalent hospital experience
  • Experience working with surgical supplies and understanding of surgical procedures
 
Knowledge/Skills/Abilities
  • Knowledge of computers, fax machines, copy machines and telephone etiquette.
  • Knowledge of medical terminology.
  • Secretarial/receptionist skills
  • Oral and written communication skills
  • Ability to organize and prioritize work.
  • Ability to deal effectively with a variety of patients, physicians and staff.
  • Ability to maintain composure/organization under stressful, sometimes chaotic situations.
  • Ability to maintain function/flow in spite of frequent interruptions.
  • Ability to build effective working relationships.
